TÉTELÍV / QUOTATION GUIDE
Material list to quotation: a practical PDF and Excel workflow
Quotation preparation separates the material list into line items, preserves quantities and units, and matches each line against your own product catalogue. A reviewable priced line needs a checked product and a valid price. Incomplete lines remain visible tasks rather than guessed answers.
What belongs in a pilot sample?
Include both routine and difficult requests: short Excel lists, multi-page PDFs, alternative descriptions, missing dimensions and repeated lines. Supply a dated catalogue export, price validity, units of measure and some matches already checked by your team.
A PDF is not a single data format. A text table and a scanned image require different handling. Measure extraction accuracy separately for the formats you actually receive. The public Tételív demo uses fictional items; real documents are accepted through a separately agreed channel.
Which fields must survive extraction?
- Original line number and description, so the source remains traceable.
- Quantity and unit: pieces, metres and packs are different quantities.
- Technical attributes such as poles, rated current, trip curve and conductor cross-section.
- Matched SKU, catalogue version, unit price and review status.
- Unresolved question and the person responsible for resolving it.
Merge duplicates only while preserving their original line references. A blank quantity must not silently become one item.
A fictional three-line worked example
| Requested item | Quantity | Unit price | Status |
|---|---|---|---|
| 6242Y twin and earth 2.5 mm² cable, 100 m drum | 1 drum | £68.40 | £68.40, review required |
| B16 single-pole MCB, 6 kA, exact type specified | 6 pcs | £3.95 each | £23.70, review required |
| Junction box, size missing | 10 pcs | Missing | Clarification required |
The two priced lines subtotal £92.10. That is not the complete list total because the junction box has no price. A useful workflow makes that distinction explicit.

When is the quote ready?
Extraction alone does not produce a finished quote. A designated team member checks product matches, pricing and commercial terms before approving the draft. Review the price date, pack quantity, discounts, delivery terms and every unresolved line.
Tételív’s initial service prepares drafts with human approval. A pilot using your own data measures whether total handling time, including review and corrections, actually falls.
Frequently asked questions
Can every PDF be processed automatically?
That cannot be promised in advance. Scans, damaged files and complex tables need representative tests. Missing information must not be replaced with guesses.
Does Tételív send the quotation?
Every commercial quotation in the initial service requires human approval. Missing prices and uncertain product matches stop the process.
